Development Associate

Reports To:                               Development Director

Hours:                                       Temporary Part-Time , 24 hours/week

Work Location:                         On-site preferred, but some hybrid ok as needed

Schedule Expectations:             Monday through Friday with occasional weekend duties 

Position Summary

The stewardship of Pewabic’s donors is critical for the organization’s long-term success. The Development Associate supports Pewabic’s mission by ensuring that donors and members are appropriately thanked for their donations in a timely way; and by maintaining a clean database with correct and up-to-date records. This position supports community outreach and engagement and works closely with the Development Director and gallery staff in ensuring our donors feel appreciated. Primary areas of responsibility include donor data entry, donor acknowledgement, troubleshooting, and organizing.

 

Essential Duties and Responsibilities

Entering donor data into Netsuite, and producing donor acknowledgements. Keeping database clean with meticulous entry, and active dupe removal and merges.

 

Operational Responsibilities

  • Membership: Membership renewal mailing – letters (mail merge csv data file into letter, print, stuff, apply postage, drop at post office) sent once a month, emails sent twice a month via constant contact. Phone and personal email reminders for higher level members and trustees.
  • Data entry of gifts that come via mail, online and in-store. Send acknowledgement letters, that are signed by development director or executive director. Keep the data clean with consistent donor data entry and proactive dupe removal.
  • Events: Assist the Development Director as needed with Garden Party sponsorship acquisition and renewal, and stewardship of sponsors and ticket buyers. Data entry and acknowledgement of Garden Party sponsor and ticket purchases. Maintain master list of attendees and make calls as needed to ensure accurate count of guests. Phone and email follow up for sponsor prospects and ticket buyers.
  • Gallery Membership Commissions:  Keep track of gallery membership transactions. Tally up membership sales by associate, transfer data to spreadsheets and note quarterly totals. Send spreadsheets and totals to Retail Director for review, and to HR for payroll disbursements.
  • Auction Donation Requests: Respond (positively or negatively) to requests for auction donations from other organizations. Complete fulfillment and record keeping of donations.

Required Qualifications

 Education: BA in Public Relations, Communications, or other field of study.

 

Experience

      Two years experience in a development department, or other office setting

(Knowledge and enthusiasm for Pewabic culture and mission is a plus)

      Experience with Netsuite or other fundraising software preferred

      Some events management training or experience

 

Technical

      Working knowledge of basic office software – Word, Excel

      Experience with Constant Contact or other similar software

 

Non-Technical Qualifications

      Appreciation for the arts

      Warm and outgoing demeanor

 

Core Competencies

      Effective communication – both verbal and written

      Comfortability with making and responding to phone calls and emails

      Ability to collaborate with gallery staff and others as needed

      Organizational and project management skills

      Adaptability and able to move quickly in between tasks

 

Physical and Work Environment Requirements

Ability to work in an office environment, some minor lifting, occasional weekend and (rare) evening assignments.
